This feature is only available to domain administrators running SmarterMail Enterprise.
User groups are used within the webmail client to give permissions to specific subsets of users on the domain
to access shared resources. For example, if a business wanted to make it easy for members of its sales department to share their calendars with other team members, the domain administrator would create a user group for all the sales department employees.
By default, there are permanent user groups that cannot be edited:
- Everyone - All users on the domain belong to this group automatically.
- Administrators - All users that are marked as domain administrators for this
domain belong to this group.
To view the user groups for the domain, log in to SmarterMail as a Domain Administrator and click on the Domain Settings icon. Then click on Accounts in the navigation pane and select the User Groups tab.
To create a user group, click the New User Group button on the User Groups card. To edit an existing user group, simply click on its corresponding entry. A modal window will pop up with the following options:
- Name - The friendly name of the user group.
- User - The individual users you want to add to the user group. Start typing the username and it will be displayed. Simply select it to add it to the User Group. Note: Alisases can not be added to a User Group.
Contact Groups are different as they're generally created within an email client to act as personal aliases. Users create contact groups of other people, and then use that for emailing that group of people rather than having to add each individual's email address separately in a message's TO: line. The nice thing about Contact Groups is that they will, more often than not, sync to other devices once created. There IS one BIG caveat with that, though: a Contact Group created using MAPI, for example, in Outlook WILL NOT sync to a client connecting via a different protocol such as CardDAV. This is because each protocol has its own set of properties when creating Contact Groups, and these properties don't translate to other protocols. This is especially true with MAPI, which is an entirely different beast when compared to EAS, EWS and WebDAV as it is.
So, while Contact Groups can be useful, they need to be created knowing that they're probably only able to be used from within the client they're created in. If more flexibiltiy is needed, perhaps an Alias is a better choice as that's more flexible and can be used on any email client, regardless of how it's connected to your account.
