File Storage
SmarterMail lets you share files as links instead of attaching them to messages. Links keep large files out of your mailbox and your recipients' mailboxes, get around attachment size limits, and let you control access with permissions, a password or an expiration date. You can store files in SmarterMail's own File Storage area, or connect accounts you have with cloud storage providers such as Dropbox or OneDrive. The File Storage settings page is where you connect those accounts. To open it, click Settings, then File Storage.
The page shows a card for each provider your domain administrator has enabled. If none are enabled, the page shows "No File Storage integrations enabled by your administrator."
Native File Storage
When SmarterMail File Storage is enabled for your domain, a Native card appears. There's nothing to set up: click File Storage in the top menu of webmail to upload and share files. Files you store there count toward your mailbox's disk space, so delete files you no longer need. For details, see File Storage.
Connecting a Cloud Storage Account
SmarterMail can connect to Dropbox, Google Drive, leitzcloud, OneDrive, ownCloud and vBoxx, depending on which ones your domain administrator has enabled. Dropbox, Google Drive, leitzcloud, OneDrive and vBoxx all connect the same way:
- Click Settings, then File Storage.
- On the provider's card, click Connect. A sign-in window for the provider opens. If nothing happens, allow pop-ups for your SmarterMail site in your browser and try again.
- Sign in to your account with the provider and approve the permissions SmarterMail asks for. The card shows "Waiting for connection from Cloud Storage Provider" until you finish.
- Back in SmarterMail, enter a Display Name for the connection. This is the name you'll see when you choose files, and it defaults to something like "My Dropbox."
- Click Save. The card now shows the account you're connected as.
Connecting ownCloud
ownCloud is usually hosted by your organization or a hosting provider, so you sign in with your ownCloud details instead of a sign-in window:
- On the ownCloud card, enter a Display Name for the connection, the Server Address of your ownCloud server, and your ownCloud Username and Password.
- Click Connect. SmarterMail tests the connection before saving it, so if anything is wrong, you'll see an error and can correct the details.
Disconnecting an Account
To remove a connection, click Disconnect on the provider's card, then confirm. You can connect the account again at any time.
Linking Cloud Files in a Message
Once an account is connected, its files appear in your File Storage area, and you can insert links to them while writing a message:
- While composing a message, click the Actions (⋮) button and choose Link File.
- Choose the cloud storage connection you want to use.
- Find the file and click it. SmarterMail inserts a link to the file in your message.
- Set permissions, a password or an expiration date for the link if you want to control who can open it, and for how long.
