Importing and Exporting Notes
SmarterMail allows users to create multiple different folders for various types of Notes. Users can create a folder for personal notes, for business notes, for notes about a particular topic and more. That said, there may be times when users want to import notes to a folder, or even export notes to be used in other applications, etc.
Importing/Exporting Notes
To initiate the importing or exporting of notes, click the Actions (⋮) after clicking on a Notes folder. From the dropdown, you'll see the following:
- Import - Allows you to import notes from an external CSV file.
- Export All to CSV - Exports every note in the folder to a "comma separated values" file, for use in another application or another SmarterMail account. This appears whenever the folder isn't empty.
- Export to CSV - Exports only the note(s) you've selected. This appears once you've selected one or more notes, alongside Export All to CSV — so make sure nothing is selected if you actually want everything.
Importing Notes to SmarterMail
SmarterMail supports importing notes from a comma-separated text files (.csv). Follow these steps to import notes:
- First, go to your Notes.
- Select a specific folder for the imported Notes. If need be, create a new folder for the imported notes.
- Select Import from the Actions (⋮) dropdown menu.
- The Import Notes modal will load. Here, you can select which Notes folder to import your new notes to, such as the default Notes folder or any new folders you've created.
- Next, you can either drag-and-drop a CSV file into the "add files" area, or you can click on the "add files" box to open a desktop window so you can select the file you want to import.
- Once you've added the file(s), click the Import button.
- The file will process, then you're presented with a field-mapping screen. Here, you'll map each Uploaded Field — the column headers found in the CSV — to one of the available Notes fields: Subject, Body, Color, Categories, or Ignore for any column you don't want imported. Whenever possible, SmarterMail automatically maps fields it recognizes, especially when importing a CSV that was originally exported from SmarterMail Notes. You'll need to map at least the Subject or Body column before you can continue — the Next button stays disabled until one of the two is mapped.
- Once all fields are mapped, the process is complete.
Exporting Notes from SmarterMail
Just as you can import notes from a CSV file, you can also export your own notes as a CSV file. These files can then be imported into other applications that accept these file types, or into another SmarterMail account. To export notes to a CSV file:
- First, go to your Notes.
- To export everything in the folder, make sure nothing is selected, then choose Export All to CSV from the Actions (⋮) dropdown menu. To export just a few notes, select them first, then choose Export to CSV instead.
- A standard Save window will appear that allows you to rename the file, choose where you want the file saved, etc.
- Click the Save button and you're done.
As mentioned, SmarterMail exports a note's Body as raw HTML rather than plain text. Opening or resaving the exported file in Excel or a plain text editor can corrupt that HTML, making the file unusable for re-importing. It's best to leave the exported file untouched and simply import it directly into its destination application.
