File Storage Overview

SmarterMail’s file storage integrations provide a secure and efficient alternative to traditional email attachments. By allowing users to upload and share files via links instead of embedding large attachments directly in emails, this feature enhances mail server performance, improves security, and eliminates common attachment size restrictions. File storage systems enable users to store files on the mail server or on cloud storage providers and then distribute them through shareable links. This reduces the strain on the mail server’s email spool, preventing large attachments from slowing down email performance. Additionally, file storage solutions generally provide flexibility in sharing, allowing users to manage file access levels, set expiration dates for links, and apply password protection for added security.

Purpose

The primary goal of secondary file storage options is to optimize email communication by addressing the limitations of traditional attachments. By keeping large files out of the email spool, this feature ensures that mail servers remain reliable and efficient. It also enables users to share larger files without being restricted by domain or system administrator policies, enhancing collaboration and accessibility.

Benefits

  • Improved Mail Server Performance: Reduces the load on email servers by keeping large files separate from the email spool.
  • Bypass Attachment Restrictions: Allows users to send large files without being limited by domain or hosting provider rules.
  • Enhanced Security: Protects recipient mail servers from potentially unsafe attachments while avoiding file type restrictions.
  • Flexible File Sharing: Users can set files as public or private, apply password protection, and establish expiration dates for links.
  • Persistent File Access: Files shared in live chats and online meetings remain available for future use.
  • Shorter, More Secure Links: Upgraded file-sharing links are now more secure and easier to distribute.
note: SmarterMail's File Storage stores files on the mail server that count toward the user’s disk space allocation, so it is recommended that users regularly delete unused files to free up space. Additionally, users upgrading from SmarterMail 15.x or earlier must re-send any previously shared file links, as older links will no longer function with the new security enhancements.
